Booking the holiday corporate party: the November rush is real.

We’re heading into the busiest quarter of the year for corporate event hosting. Companies that wait until October to book a December party usually settle for one of three compromises: the wrong room, the wrong date, or the wrong caterer.

The first is obvious — the smaller rooms book first because most corporate parties are 50–150 guests, and those rooms have all gone by mid-October. The second is subtler. The third is the one most people don’t see coming until the food is already on the table.

Why the wrong caterer is the most common compromise

Late-stage corporate party planning often goes like this: HR finds a venue, the venue is available, the venue’s preferred caterer is booked, and the venue hands off the food to whoever has the date open. The result is a banquet that looks fine but tastes like it was made in a different kitchen. Which it was.

At Maravela’s, the room and the kitchen are the same thing — we don’t outsource food to a partner. But the same logic applies to any venue you book. Ask the question.

The questions HR should ask

1. Is your in-house kitchen handling the food, or are you sub-contracting?
2. What’s the headcount we’d lock in by, and what’s the flex up or down between then and event night?
3. Is the AV included? A holiday party that’s also a year-end company meeting needs a mic, a screen, and someone who knows how to plug them in.
4. Is there a service charge or facility fee on top of the per-person rate? Get the number.

The room and the kitchen are the same thing — or they aren’t. Worth knowing which.

When to book

• By September: December Saturdays. The most-requested December Saturdays book by early September.
• By October 15: Most December weeknights still open. The Tuesday-through-Thursday slots are the value play — same room, same kitchen, no Saturday-evening premium.
• By November 1: Last realistic call. We can sometimes fit small parties (30–60 guests) inside the smaller rooms with a few weeks’ notice. But the food options narrow.

If you’re holding off because budget hasn’t been approved yet, hold the date with a deposit — we’ll refund it if the event doesn’t happen. Most years, fewer than two corporate clients have asked us for that refund. Most companies do end up doing the party.
